Hevey’s existing invoice authorisation process was leading to delays in paying their suppliers – a big risk in a competitive industry where good supplier relationships are key to maintain a high levels of stock availability. Their manual processes meant communication between head office and branch teams wasn’t efficient, and unresolved issues were constantly holding things up. The accounts payable team needed to speed up their processing to resolve queries more quickly and pay suppliers on time.

We set up our online Supplier:Safe hub so that head office and all branch teams had easy access to the same central system. Instead of the accounts payable team having to manually scan invoices to send to branches for approval, we now digitally capture all incoming invoices for them in Supplier:Safe. These can then be viewed and authorised by the right people directly through the portal. Queries are easier to share and resolve, and head office have a more consistent, convenient way to track the progress of all invoices right up to the point of payment.

With a clearer, more manageable process now established, Hevey’s branch teams are able to take more responsibility for invoice queries, which has helped to address the overall number of issues arising in the first place. Data is captured with a higher level of accuracy than before (boosting purchase order match rates), which also makes things quicker. A more streamlined approach means invoices are now paid faster, which strengthens relationships with their suppliers.
