Cognita, a global network of schools with over 18,000 staff and educators, faced a complex challenge: how to implement a unified HR shared service model across multiple regions while maintaining high-quality, timely support for every employee. Their vision required standardised HR processes, a centralised platform for document filing, and secure, role-based access for local school teams. Complicating matters further, their documentation was scattered across paper files, electronic formats, and legacy HR systems.

How we helped:
We stepped in to deliver a complete solution from end to end. The project began with the deployment of data and website hosting across multiple Azure regions, ensuring compliance with country-specific data regulations.
Next, we gathered HR documents in person from 50 school sites across Europe, while also coordinating the secure electronic transfer of files from the group's Middle East teams.
To streamline daily operations, we established secure, encrypted channels for HR service centres to transfer new filings directly into HR:Safe. This ensured that every document—whether legacy or newly generated—was handled with precision and security.
And now…?
The results speak for themselves. Over one million pages were converted to PDF and uploaded to HR:Safe, our secure online hub. Each document, whether in English, Spanish, Swiss German or Arabic, was individually categorised to enable fast retrieval and comprehensive reporting. Role-based permissions were configured to give HR and Payroll teams instant access to the records they needed.
With the legacy backlog cleared, Cognita’s HR team now enjoys a complete 360° view of every employee record. They have a secure, centralised space for ongoing document uploads, and compliance audits are now faster and more efficient. HR:Safe has helped Cognita reinforce its reputation for excellence—ensuring that behind every great educator is great HR support.
