Their challenge
Like most large employers, Weetabix’s HR department was trying to find a better way to manage compliance for personnel records for their large diverse workforce. With almost all their employee documents still paper-based, (and physically stored at their primary manufacturing site in Northamptonshire) they wanted to convert them into a more manageable and secure digital format to better reflect the HR shared service and speciality teams within HR. But it was a daunting project, which needed more time and resources than they could easily spare
How we helped:
We managed the successful digital migration of all their HR records from start to finish. This began with us collecting the paper files from their head office and carefully processing each document using a combination of technology and careful supervision. Once converted into a standard PDF file, every record was uploaded into HR:Safe, our secure, online hub. Agreed categories were assigned, and user permissions set to meet the needs of each of the different teams within Weetabix HR (Recruitment, Payroll, and Employee Relations).


And now...?
Employee records are now fully digital and are stored and accessed in a much more compliant way. By centralising everything in an online hub, the HR team have all they need at their fingertips, with the ability control access based on role and grade. Identification of specific categories for Right to Work, Food Handling Agreements, Working Time Directive, and health surveillance help Weetabix better support their colleagues and manage their compliance and audit responsibilities. New records are now uploaded directly to HR:Safe, time is saved, and the team feel more in control.
