Their challenge
Ontic is a global leader in aerospace parts and services, with over 1,300 employees spread across multiple regions. As the business continued to grow the HR team set out to create a shared services model that could deliver consistent, high-quality support to every employee—no matter where they were based.
But turning that vision into reality wasn’t straightforward. They wished to appoint a solution to standardise HR processes across countries, create a central space for employee documents, and make sure local HR teams could access what they needed—securely and efficiently. In addition, their historical records were scattered across different locations and formats, from paper files in offices to digital documents stored in various systems.

After an extensive evaluation of potential providers, Ontic selected Netdocs and HR:Safe as the only partner able to meet their complex global requirements—delivering a complete, end-to-end solution as a common platform for all their operational sites.
The transformation began with the deployment of secure, compliant Azure hosting environments across multiple regions, addressing the need for localised data governance.
Our team led the consolidation of HR documents, starting with the secure electronic transfer of legacy files from Ontic’s UK and North American teams. We then established encrypted workflows that allowed new HR documents to be transferred directly into HR:Safe in real time. Each document—whether a newly generated file or part of the legacy archive—was systematically categorised and indexed to support efficient search, retrieval, and compliance reporting.
And now...?
The results speak for themselves. Over 250,000 pages were converted and uploaded to HR:Safe, our secure online hub. Each document was individually categorised to enable fast retrieval and accurate application of regional document retention reporting. Role-based permissions were configured to give HR teams instant access to the records they needed.
With the legacy backlog cleared, Ontic HR team now enjoys a complete view of every employee record. They have a secure, centralised space for ongoing document uploads, and the confidence that they are meeting their regional data management responsibilities.
